This Privacy Policy explains how 99 Billing Solution (“we,” “us,” or “our”) collects, uses, and shares information through this website, including our contact form, chat assistant, and meeting scheduling.
It covers this website only. Protected health information (PHI) that we handle for clients as a Business Associate is governed by the Business Associate Agreement (BAA) with that client and by HIPAA, not by this policy.
2. Please don't send patient information
This website is not designed to receive PHI. Please don't enter patient names, Medicare Beneficiary Identifiers, Social Security numbers, dates of birth, medical record numbers, or other patient details in the contact form or the chat assistant. Both block messages that look like patient identifiers. If you become a client, we set up secure, BAA-covered channels for patient-level information.
3. Information we collect
Information you give us.
- Contact form: your name, business email, phone number, organization type, estimated monthly claims volume, your message, and your confirmation that the inquiry contains no PHI.
- Chat assistant: the questions you type and the answers you receive, which are processed by Google as described below.
- Meeting booking: if you book a discovery call, the scheduling page collects details such as your name and email. That page is provided by our scheduling provider (Google Calendar).
Information collected automatically. When you visit, our hosting provider processes technical information needed to deliver the site and keep it secure, such as your IP address, browser type, and the pages you request. We use IP addresses briefly to limit abusive traffic, such as repeated form submissions.
Information stored in your browser. The site saves your light or dark theme choice, your chat conversation for the current browser session, and whether you dismissed the chat prompt. This information stays in your browser, and you can clear it at any time in your browser settings. We do not use advertising or analytics cookies.
4. How we use information
We use the information described above to:
- respond to your inquiry and prepare your free revenue cycle audit;
- schedule and hold discovery calls;
- answer your questions through the chat assistant;
- provide services you request from us;
- protect the website against spam, fraud, and abuse; and
- comply with legal obligations.
We do not sell your personal information, and we do not use it for targeted advertising.
5. Our AI chat assistant
To generate answers, the messages you send to the chat assistant, along with the recent conversation, are sent to Google's Gemini API. If that service is unavailable, the assistant answers from content built into our website.
We use Google's free (unpaid) Gemini API service. Under Google's terms for that service, Google may use the content submitted and the responses generated to provide, improve, and develop its products, and human reviewers may read that content. Google's handling of this information is governed by its own terms and privacy policy.
Please don't share personal, confidential, or patient information in the chat. The assistant blocks messages that appear to contain patient identifiers, email addresses, or phone numbers. We do not store chat conversations on our servers. The assistant provides general billing education and can make mistakes, so please don't rely on it for decisions about specific claims.
7. How long we keep information
We keep inquiry information for as long as needed to respond to you, manage our business relationship, and meet legal and record-keeping requirements. When it is no longer needed, we delete it or de-identify it.
8. Security
We use reasonable administrative, technical, and physical safeguards to protect information, and this website is served only over encrypted HTTPS connections. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
9. Your choices and rights
You can ask us to access, correct, or delete the personal information you submitted through this website, and you can opt out of follow-up emails at any time. Depending on the state where you live, you may have additional privacy rights under state law. We will not discriminate against you for exercising them.

10. Children's privacy
This website is intended for healthcare business professionals. It is not directed to children, and we do not knowingly collect personal information from anyone under 16.
11. Third-party services
Some features, such as our meeting scheduling page, are provided by third parties. Their handling of your information is governed by their own privacy policies.
12. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will change the “Last updated” date at the top of this page.
